Erasmus+

GENERAL INFORMATION

The Erasmus+ stays are known to be an affordable way for students enrolled in all types of studies to spend some time studying abroad. During the stay, the students mainly take specific courses, and the study or research for a Bachelor’s, diploma or doctoral thesis is also supported in justified cases. Last, but not least, the programme also gives its participants a chance to get to know the culture, language and education system in a foreign country. Studying abroad with Erasmus+ takes place on the basis of the Erasmus Charter for Higher Education 2014–2020 and the BUT Erasmus Policy Statement supplementing the Charter.

CONDITIONS FOR PARTICIPATION

The comprehensive conditions are detailed in the Conditions for studying abroad within the Erasmus+ programme document attached to Guidance No. 18/2017 as its annex.

ADMINISTRATIVE PROCEDURE

Before leaving

  • the student must be nominated for studying abroad in a transparent selection procedure opened 2 times a year by the Foreign Relations Department of the Rectorate (hereinafter the “FRD”)
    • the selection procedure is managed by the respective faculty which also sends the official student nominations to foreign partner universities, if required (some universities require this, some do not)
  • the student subsequently:
    • submits an application to the hosting institution (in paper form or online, depending on the requirements of the respective school)
    • obtains an acceptation letter (for mandatory parts of such acceptance letter see slide no. 13 in the presentation)
    • draws up the Learning Agreement based on the BUT template or formally identical equivalent and arranges for its execution by both participating institutions; the minimum credit value is indicated in the Conditions for studying abroad within the Erasmus+ programme and the Rector’s Directive No. 40/2016.
    • ensures to be enrolled in the academic year for the time period in which he/she is to study abroad (this is particularly important in summer months – the student needs to apply for early enrolment!)
    • makes sure to enter his/her bank account information into the information system, if it has not already been entered or if it needs to be changed (see FAQ for the procedure)
    • visits the Foreign Relations Department of the BUT Rectorate in person for the purpose of execution of the Participation Agreement.
    • fills in an online language test in the Online Linguistic Support (OLS) system for the language of the hosting country specified in the Learning Agreement.

During your stay

  • the student may change his/her Learning Agreement in writing using the Changes to Learning Agreement form not later than 30 days after the beginning of the stay.
  • if there are no changes to the LA, the student informs the Foreign Relations Department and his/her faculty that no changes have been made
  • the student can apply for extension of his/her stay pursuant to the Conditions for studying abroad within the Erasmus+ programme not later than 30 days before the planned end of the stay.
  • immediately before the student leaves the hosting country, he/she asks the hosting institution for the original copy of the Confirmation of Erasmus+ Study Period

After you return

  • The student
    • hands in the ORIGINAL of the Confirmation of Erasmus+ Study Period to the Foreign Relations Department of the BUT Rectorate within 15 days – this has an impact on the determination of the amount of the grant or the amount to be refunded, if appropriate. The start date or the end date of the study period must not be overwritten or crossed out.
    • hands in the Transcript of Records, i.e. the overview of the results achieved at the foreign institution, within 45 days after the end of the study period, as follows:
      • he/she hands in the original document or a copy (as required) to her/his faculty,
      • he/she hands in one copy to the Foreign Relations Department of the BUT Rectorate,
        • the Transcript of Records must conform with the Learning Agreement and its changes, if appropriate, and any discrepancies must be explained by supplying additional documents regarding other attended/uncompleted courses or other equivalent explanation
      • fills in the final report (EU Survey) within 15 days after receiving a notification via e-mail
      • fills in the final language test in the OLS system without undue delay after receiving an automatic notice during the last month of the stay
      • submits an application for recognition of the results achieved during the study stay abroad within 30 days from the receipt of the Transcript of Records
    • Faculty
      • processes the application for recognition pursuant to the Guideline No. 40/2017 and issue the Proof of Recognition

FINANCING OF THE STAY

  • The student
    • will obtain financial support for the purpose of partaking in the mobility programme according to flat-rate amounts determined for the hosting country based on the executed Participation Agreement
  • The exact amount of the allocated financial support can be calculated using the study stay length and grant amount calculator.
  • The financial support serves as a contribution, but it usually does not cover all expenses – the student’s financial participation is expected.
